Studio Policies
Arriving for Classes
Arrive 5-10 minutes early to check-in at the front desk, put your things in a cubby, roll out your mat, and settle in for your practice. When class begins our front door locks and late arrivals will not be permitted to enter class. Please see more on our “Late Arrival Policy” below.
Wear comfortable clothes that you can easily move in.
Remove shoes upon entering and place them under the benches. Do not leave your belongings on the benches, but place them in the prop room in a cubby. No shoes are permitted in the studio.
New students must sign our waiver prior to their first class. This can be done online when you sign-up for class and create your account. If your waiver is not signed, our team will stop you at the front desk before class begins and ask you to sign a hard copy.
Cellphones + Personal Belongings
Please leave all personal belongings (including your cellphone) in a cubby in the prop room. You agree that we are not responsible for the loss or damage of any personal property you bring or leave with Yajamahe Yoga.
To maintain a peaceful and distraction-free environment, we ask that all phones be turned off and left in your cubby. Enjoy your time on the mat, unplugged!
If you are on-call or a caretaker and must keep your phone with you, we understand—just please step out of the studio to use it.
Photos and videos are welcome before or after class, but no active phone use during class please.
Please silence all devices (including Apple watches) when you arrive. Phone ringing in the reception area can also be distracting for students enjoying classes in the studio.
Studio Space + Props Policies
Our in-studio space is limited to 24 students per class to allow comfortable space between students.
Mat locations are first come, first serve. If you have a preferred spot, we recommend arriving early.
It is best to bring your own mat. If you do not have one, you may use the studio’s sticky mat. We do not rent mats. We only ask that you clean it with the cleaner provided in the prop room, before returning it to the box.
Jade mats are available for purchase at the front desk.
The prop room is equipped with blocks, bolsters, blankets, straps, bands, weights, yoga mats, and wedges, all of which are available for your use during class.
Please wipe and return all props neatly to their storage area after class and leave our yoga space tidy for the next class.
No-Show + Cancellation Policies
To maintain fairness and help more students access classes, Yajamahe Yoga enforces the following cancellation and attendance policies:
CLASSES
If you can no longer make it to a class you have booked, please cancel your reservation at least 6 hours before the class begins to allow another student to attend. To cancel, please login to your Karmasoft account and cancel your booking. If you need assistance, please or text 631-402-3008 with at least 12 hours notice.
Any notice less 6 hours will be considered a “late cancellation.” A student who does not show up for class will be considered a “no show.”
“Late Cancel” and “No Show” fees will be applied as follows:
Drop-ins and class pack classes will not be refunded, not credited in the event of a late cancellation.
Members will be charged a $10 late cancellation fee or a $20 no-show fee.
We encourage students to cancel their reservation as early as possible, even if it's within the 6-hour window. Timely cancellations, even if late, allow us to offer the spot to another student and will help you avoid the higher no-show fee.
We will always be flexible in the event of emergencies and illnesses. Please reach out to us directly if you need consideration due to special circumstances. Please make every effort to let us know BEFORE class begins so your spot can become available for another student.
WORKSHOPS + SPECIAL EVENTS
You must cancel 24 hours prior to the start of the workshop or special event to receive a refund. Refunds will be credited to your tab in your Karmasoft account to use for any studio offering. To cancel, please login to your Karmasoft account and cancel your booking or send a text message to us at 631-402-3008 with at least 24 hours notice.
PRIVATE CLASSES + APPOINTMENTS
You must cancel or reschedule all private lessons, classes or appointments with at least 24 hours notice. Cancellations less than 24 hours will not be refunded. To cancel, please send a text message to us at 631-402-3008.
WAITLIST POLICY
Our classes are often full and we encourage students to add themselves to the waitlist as there is a high likelihood that they will still make it into class due to cancellations. When you sign-up for class, please pay close attention to if you are adding yourself to the waitlist. The button next to the class will say “Waitlist” rather than “Sign-up.”
We strongly encourage students to add themselves to the waitlist—there are always cancellations before class begins, and you may likely get in! However, if you’re on the waitlist, that means you are committed to attending if a spot opens. If you do get into class, you will be subject to the late cancel and no-show policy.
If you no longer plan to come to class or wouldn't be able to make it with short notice, please remove yourself from the waitlist so the next person can take the spot. For example, if you know that finding out less than 1 hour before class begins does not give you enough time to get there, then please remove yourself from the waitlist at that time.
LATE ARRIVAL POLICY
Students are not permitted to enter class more than 5 minutes late.
If a team member is not at the front desk, the doors will be locked at the beginning of class. For this reason, please do not rely on arriving 5 minutes late.
If a team member is at the front desk and therefore able to let you in, you will be permitted to enter class up to 5 minutes late.
Students who are more than 5 minutes late will not be allowed to enter class even if a team member is at the front desk out of respect for everyone else’s experience.
Please note: We are a small studio and do not always have a team member at the front desk. In this case the teacher may hang around the lobby a couple extra minutes checking students in but when they are ready to start class the door will be locked. Once class begins we want our teachers to give their full attention to our students that have arrived on time, and they will not be able to check phone messages, stop class or let you in.
Strive to arrive early for class. If you arrive at the exact time the class is scheduled to begin, you are late.
EARLY DEPARTURE POLICY
If you need to leave early, let the teacher know before the start of the class. Your teacher will keep an eye on the clock for you and let you know when it’s time for you to enter into Savasana. Position you mat close to the door to minimize disruption to the class when it’s time for you to leave.
REFUND POLICY
All sales are final. Memberships, classes, multi-class packs, fees for special events and workshops, yoga teacher training tuition and all other purchases at Yajamahe Yoga are non-refundable and non-transferable.
ACCOUNT BALANCE POLICY
All account balances—including fees for late cancels, no-shows, declined card charges, or unpaid retail items—must be settled monthly. Yajamahe Yoga reserves the right to suspend booking privileges for accounts with unpaid balances until the balance is cleared. Students will receive a personal reminder if a balance is due.
Membership Policies
MEMBERSHIP AGREEMENTS
When you become a member at Yajamahe Yoga you enter into a membership agreement. This agreement will remain in effect according to the terms you agreed upon unless you cancel it following the instructions below. Memberships require a credit or debit card stored on your secure Karmasoft account. Important membership terms are highlighted below. Please view our current membership Agreement for complete terms.
MEMBERSHIP CANCELLATION POLICY
To cancel your membership and autopay please email info@yajamaheyoga.com with a 30 days notice prior to your next autopay. Refunds will not be issued for membership payments that were not canceled with 30 days notice.
Based on the terms of your membership agreement you may be charged a cancellation fee if you are cancelling before the end of your term. The one-time cancellation option is $150 or 50% of the remaining value of your membership agreement (whichever is less.)
Refunds will not be honored based on lack of utilization. Prorated refunds will not be granted based on lack of utilization.
MEMBERSHIP PAUSE
A member may temporarily suspend their membership by written request to info@yajamaheyoga.com at least 7 days before their next scheduled billing date. A member may freeze their membership once every 12 months for a minimum of 1 month and a maximum of 3 consecutive months. We do not prorate membership dues. Once the freeze ends, the membership will continue at the same rate and payments will commence.
MEMBER ACCESS
Membership access applies only to regularly scheduled classes. Special events, workshops, and trainings require additional payment. Your membership dues are based on a set monthly fee and will not be adjusted or refunded based on your actual attendance of Yajamahe Yoga classes.
IMPORTANT COMMUNICATIONS
If you do not remain subscribed to our text and email communications, we cannot guarantee that you will receive important communications regarding waitlist status, class schedule changes or other important studio and account information. Please remain subscribed to our Karmasoft text and email notifications and ensure that your mobile phone number and email address information is accurate.
EXPIRATION POLICIES
Drop-in Classes expire 30 days from the date of purchase. Classes are non-refundable and non-transferable.
Ten-Class Packs expire six months from the date of purchase. Classes are non-refundable and non-transferable.
Special events, workshops, and trainings require an additional payment. Credits for these services expire 1 year from the date of purchase. Credits are non-refundable and non-transferable.
Gift cards do not expire and can be used for any product or studio offering at Yajamahe Yoga.
AGE POLICY
Our classes are open to students 10 years and older.
Children 14 years of age and older may come unaccompanied by a parent or legal guardian after a liability waiver has been signed by a parent or guardian.
Children 13 year and younger must be accompanied by an adult at all times.
Yajamahe Yoga reserves the right to discontinue usage for any person whose behavior is offensive or disruptive to any other person.
Children are not permitted to wait in the reception area or sit in the studio while parents participate in class. Any person at the studio is expected to be actively and respectfully participating in the class or in studio event.
MEDIA RELEASE
We think you’re awesome and want to show you off! By participating in the activities at Yajamahe Yoga, you agree to grant us the irrevocable right to use your image, likeness, photos, video content, and audio recordings captured of you during the activities or that you share with us online (via your own or others posting of you) as part of our online streaming, marketing and sales throughout the world and in perpetuity. You also release us from all claims you may have relating to such use. Please let us know if you ever want us to stop using an image of you.
COVID-19
Masks are now a personal choice at Yajamahe Yoga. When you sign a waiver at Yajamahe, you agree to not come to class if you are sick or know that you have been exposed to someone that is sick. Mats are spaced out with a capacity of 24 students per class. Our yoga home is always kept sparkling clean and props are sanitized after every use.
In addition to the policies listed here, Yajamahe Yoga reserves the right to post new policies and rules for our members. These policies must be obeyed for the general safety and mutual respect of our community members.
